In this role, you are part of the marketing team ops team to provide trade administration support to the Sales Operations and Sales team, including activities such as contract administration/ management, trade finance negotiations, systems support, status reporting, governance and compliance, financial information support and customer liaison.
TYPICAL TASKS
Deals Validation
Check and validate the daily trade entries in Minemarket (MM) system against the physical deal blotters and Trade Recap
Ensure all deal blotters are properly filed and stored in the relevant systems
Deals Confirmation/ Contract Management
Support the Sales team in the new customers on-boarding process and in the maintenance of the Customer Master Data
Liaise with Sales team and Legal team on the drafting of the trade confirmation/ sales contracts
Obtain approval and issue trade confirmation/ sales contracts and forward to customers for their signature
Review the 3rd party purchase contracts and check against Trade-Recap and Deal Blotters, liaise with Sales, Legal and Tax team for approval
Ensure signed contracts are returned, properly filed and stored in the relevant systems
Accounts Receivables and Payables Management
Work with the Sales Operations team and Sales Managers to ensure overdue receivables are followed up with customers and to liaise with customers for payment.
Coordinate with Accounting Services team on the payment of supplier/ vendor’s invoices and ensure there is no payment discrepancies
Coordinate and provides related information to Treasury to facilitate cash flow management and minimising working capital.
Group Governance and Risk Management
Support in the execution of sales operations activities in alignment with Group Business Integrity and Governance policies.
Escalate and communicate any contract compliance discrepancies to the Manager Customer Service, Asia.
Sales Operations Support
Posting of the related costs items ( such as insurance, freight costs) into the Minemarket (MM) system
Support in the warehouse storage activity and coordinate with warehouse operators to reconcile stock report
Requirements:
- Diploma or degree qualified with min 3 years in contract documentation and management (a must)
- Experience with contract documentation, preferably in the Base Metals (key focus) but this is not a must
- Experience of managing credit risk using trade finance instruments such as letters of credit (highly desirable but not a must)
- Experience in warehouse management ( desirable but not a must)
- Knowledge of sales operations (desirable)
- Good communication skills, written and verbal
- Highly proactive with a disciplined approach and a good work attitude
- Excellent planning and organisation skills and the ability to manage competing priorities
- Good team player who is willing to share ideas
- An ability to work on own initiative and self-motivate
